The automation of license assignment has greatly simplified and accelerated WAGO's workflows.
The challenge
WAGO is an internationally active company that offers innovative solutions in electrical connection and automation technology. The company is active in the electronics and electrical engineering industry and specializes in particular in spring clamp technology, automation solutions and interface electronics. WAGO employs over 8,500 people worldwide, which means that licenses have to be booked, managed and removed on a daily basis.
Before the SaaS management solution, license management was covered by a powerful ITSM system. This worked very well for the on-premises applications. However, the system only supported a few SaaS applications. This led to incomplete and decentralized license management.
For license changes, the IT team had to log into each individual admin portal or SaaS application. A time-consuming manual process that regularly tied up internal IT resources. The decentralized license management also led to compliance and shadow IT problems.
The solution
The responsible IT license manager at WAGO, Vincent von Kentzinsky, was therefore looking for an extension for the existing ITSM system in order to be able to manage the SaaS licenses automatically.
The USU solution was extensively tested in a 6-month proof of concept. Over 25 applications and 7,500 users were connected to the SaaS management tool from Germany. Vincent then created groups (per department) in the tool and linked them to the existing Azure AD/Entra groups. USU SaaS Management could also be seamlessly connected to the existing ITSM system.
The result was automated license booking for all SaaS applications in the company. The proof of concept was fulfilled and a long-term contract was signed.
The result
USU SaaS Management could be seamlessly integrated into the existing ITSM system and used via the service portal. The customer now can fully automate license booking through native integrations with around 400 tools. In addition, we link Azure AD and Entra groups with USU and thus implement fully automated onboarding and offboarding.
The close exchange with the USU team is also appreciated by the customer: "I really value the close cooperation and the continuous collection of feedback. Overall, an excellent solution for the license management of SaaS applications, said Vincent von Kentzinsky." USU is saving a total of more than 240 working hours per year.
